Recmill Inc. (hereinafter, the Company) establishes the following Privacy Policy (hereinafter, this Policy) regarding the handling of Users' Personal Information in the services provided on this website (hereinafter, the Service).
Article 1 (Personal Information)
Personal Information means personal information as defined in Japan's Act on the Protection of Personal Information (APPI). It refers to information about a living individual that can identify a specific individual by the name, date of birth, address, telephone number, contact details, or other descriptions contained in that information. It also refers to information that can identify a specific individual from that information alone, such as data relating to facial appearance, fingerprints, or voiceprints, and the insurer number on a health insurance card (individual identification code).
Article 2 (Method of Collecting Personal Information)
The Company may ask Users for Personal Information such as company name, name, email address, telephone number, and the content of the message when a User uses the contact form.
Article 3 (Purpose of Collecting and Using Personal Information)
The Company collects and uses Personal Information for the following purposes.
- To provide and operate the Company's services
- To respond to inquiries from Users (including identity verification)
- To send emails informing Users of new features, updates, campaigns, and similar information for the services they are using, as well as of other services the Company provides
- To contact Users as necessary, including for maintenance and important notices
- To identify Users who have violated the terms of use or who attempt to use the Service for improper or wrongful purposes, and to refuse them use of the Service
- Purposes incidental to any of the purposes of use above
Article 4 (Change of the Purpose of Use)
The Company shall change the purpose of use of Personal Information only where the changed purpose is reasonably deemed to be related to the purpose before the change. If the Company changes the purpose of use, it shall notify Users of the changed purpose by a method prescribed by the Company or publicly announce that purpose on this website.
Article 5 (Provision of Personal Information to a Third Party)
Except in the cases listed below, the Company will not provide Personal Information to a third party without obtaining the User's prior consent. This does not apply where the provision is permitted under the Act on the Protection of Personal Information or other laws and regulations of Japan.
- Where provision is necessary to protect the life, body, or property of a person, and it is difficult to obtain the individual's consent
- Where provision is especially necessary for improving public health or promoting the sound growth of children, and it is difficult to obtain the individual's consent
- Where it is necessary to cooperate with a national government organ, a local government, or a party entrusted by either of them in carrying out affairs prescribed by laws and regulations, and obtaining the individual's consent is likely to impede the execution of those affairs
- Where the Company has notified the individual of, or publicly announced, the following matters in advance and has filed a notification with the Personal Information Protection Commission

- That the provision of Personal Information to a third party is discontinued at the request of the individual
- The method for accepting the individual's request
Notwithstanding the preceding paragraph, the recipient of the information shall not be deemed a third party in the following cases.
- Where the Company entrusts all or part of the handling of Personal Information to another party within the scope necessary to achieve the purpose of use
- Where Personal Information is provided in connection with a business succession resulting from a merger or other reason
- Where Personal Information is used jointly with specific parties, and the Company has notified the individual in advance of that fact, the items of Personal Information to be used jointly, the scope of the joint users, the purpose of use by those users, and the name of the person or entity responsible for managing that Personal Information, or has placed that information in a state where the individual can readily know it
Article 6 (Use of External Services and Provision to Third Parties in Foreign Countries)
The Company uses the following external services to operate this website. When these services are used, your information is transmitted to the providers of those services.
- Formspree (provider: Formspree, Inc. / country: United States) — used to process contact form submissions. The company name, name, email address, telephone number, inquiry type, and inquiry details you enter in the form are transmitted to its servers.
- Google Analytics (provider: Google LLC / country: United States) — used to understand how this website is used. See Article 7 for details.
- Google Fonts (provider: Google LLC / country: United States) — used to deliver web fonts. Your IP address is transmitted to Google when you view a page.
- YouTube (provider: Google LLC / country: United States) — used for embedded video on some pages. Your IP address is transmitted to Google when you view such a page.
- Google Maps (provider: Google LLC / country: United States) — used to display our location on a map. Your IP address is transmitted to Google when you view such a page.

Article 8 (Disclosure of Personal Information)
Upon receiving a request from the individual for disclosure of Personal Information, the Company will disclose it to the individual without delay. However, if disclosure would fall under any of the following, the Company may decline to disclose all or part of it. If the Company decides not to disclose, the Company will notify the individual of that decision without delay. For the disclosure of Personal Information, the Company will charge a handling fee of JPY 1,000 per request.
- Where there is a risk of harm to the life, body, property, or other rights or interests of the individual or a third party
- Where there is a risk of significant hindrance to the proper conduct of the Company's business
- Where disclosure would otherwise violate laws and regulations
Notwithstanding the preceding paragraph, the Company will not, as a general rule, disclose information other than Personal Information, such as history information and characteristics information.
Article 9 (Correction and Deletion of Personal Information)
If Personal Information about a User held by the Company is incorrect, the User may request the Company, through the procedure prescribed by the Company, to make a correction, addition, or deletion of that Personal Information (hereinafter collectively, correction, etc.). If the Company receives a request under the preceding paragraph and determines that it needs to comply with that request, the Company will make the correction, etc. to the Personal Information without delay. If the Company makes a correction, etc. under the preceding paragraph, or decides not to make one, the Company will notify the User to that effect without delay.
Article 10 (Suspension of Use, etc. of Personal Information)
If the Company receives a request from the individual for the suspension of use or deletion of Personal Information (hereinafter collectively, suspension of use, etc.) on the grounds that the Personal Information is being handled beyond the scope of the purpose of use or that it was obtained by improper means, the Company will conduct the necessary investigation without delay. If, based on the results of the investigation under the preceding paragraph, the Company determines that it needs to comply with the request, the Company will carry out the suspension of use, etc. of the Personal Information without delay. If the Company carries out a suspension of use, etc. under the preceding paragraph, or decides not to carry one out, the Company will notify the User to that effect without delay. Notwithstanding the preceding two paragraphs, where the suspension of use, etc. would require substantial expense or would otherwise be difficult to carry out, and where alternative measures necessary to protect the rights and interests of the User can be taken, the Company will take those alternative measures.
Article 11 (Changes to the Privacy Policy)
Except for matters provided by laws and regulations or otherwise provided in this Policy, the contents of this Policy may be changed without notice to Users. Except where the Company provides otherwise, the changed Privacy Policy takes effect when it is posted on this website.
